How do I book a reservation?

Once you've selected the rental unit that you wish to reserve, you can use our on-line booking service from your computer (credit card required), or call our toll free reservation hotline at 1-800/668-7836.  One of our friendly reservationists would be glad to speak with you and help you with your selection.  Your reservation confirmation and deposit request will be generated via email or snail mail (whichever you prefer).  Once you have received this documentation, please read and then sign your rental agreement and return it to us along with your check for the deposit (if not using a credit card)..

Can you hold a rental unit for me while I check with the other members in the vacationing party?

No.  We are not able to hold rental units.

Can I rent more than one unit?

Yes, you can rent more than one unit.  However, you will be responsible for the units that you rent, regardless of whether or not you were present in that unit.  We do not allow subletting of rental units.

What charges and fees are included with my reservation?

Each reservation includes a base rental rate, the state and local tax on that rental rate (10%), a security deposit (which varies according to property) and a cleaning fee (which also varies according to property).  In addition, if you're renting a PET FRIENDLY house and plan to bring your pet, an additional pet fee of $75 per pet is applicable.

When is payment due and how much is required?

The deposit required to confirm your reservation is one half of the rental rate (before tax and deposits) plus your travel insurance premium if you have selected that option.  You must sign your rental agreement and send it back to us along with your deposit within 10 days of booking your reservation.  Deposits not received within that time period will be cancelled without any notice. A receipt will be sent to you (email or snail mail) when we have received your deposit.

When is my final payment due? 

Your final payment is due 30 days prior to your arrival.  You will be notified that your final payment is due.

Can I make my final payment when I arrive?

No.  We will not release keys unless we have your signed paperwork and your full payment.  If you check in after hours or on a Sunday, this could be a problem for you.

What if I book a reservation at the last minute?

In order for us to honor a last minute reservation, payment in full must be received via credit card payment or money order.

Once I've booked my reservation, can I change my reservation to a different rental unit?

No.  A change such as this would be treated as a cancellation and subject to our cancellation policy.

When can I expect my security deposit to be returned to me?

A company check for your security deposit will be mailed back to you within 30 days of your departure date.

Must I take travel insurance to confirm my reservation?

No.  Although we include the cost of the travel insurance premium in your initial reservation, if you opt not to purchase travel insurance, just check the "no thank you" box on your rental agreement and the fee for the premium will be subtracted from your reservation.

What happens if I have to cancel my reservation?

We have a no cancellation policy.  If you have to cancel your reservation, we will make every attempt to re-rent the unit for the time you reserved.  If we are successful in re-renting the unit under the same terms, then your payment will be returned to you less a 15% processing fee. If we are unable to re-rent your unit, all payments received will be forfeited.

Can I invite friends to visit or stay over?

All of our rental homes state the maximum number of occupants allowed and many of our units have limited parking.  If you exceed the maximum number of occupants allowed or exceed the parking limits for that unit at any time, you may be evicted without prior notice and no refunds will be issued.

Is there enough parking for my family?

Parking at our rental units can be limited.  Your reservation paperwork states the number of parking spaces allowed.  If you are bring more than 1 or 2 vehicles, please be sure to ask your reservationist if there are parking restrictions.  If you exceed the number of spaces allowed, you will most likely be asked to remove excess vehicles from the property.

Can I bring my boat?

If you plan on bringing your boat, you must check with your reservationist to see if there is enough parking at the unit you have reserved for you to park your boat trailer.  Some of our rental homes do not allow guests to park boat trailers.

Can I dock my boat at my rental unit?

Not necessarily.  Our rental units that allow boat dockage are noted.  Some of our waterfront rentals do have docks, however, boat dockage is not permitted.  In some cases, boat dockage is allowed, however, it is on a first come, first served basis.  And in other cases, some of our rental homes have docks & piers, however, the water may be too shallow for your boat.  We do not guarantee water depth. Please be sure to ask your reservationist for more information if you're planning on bringing your boat.

Can I bring my pet?

Yes, you can bring your pets to a "pet friendly" home.  We do have several pet friendly rental units that allow pets.  If you're planning on bringing your pet, please specify to your reservationist that this is a requirement for you. You can only bring pets into "pet friendly" rental units.  If you bring a pet without notifying us, regardless of whether or not you are staying in a "pet friendly" home, you may be asked to leave.  If you bring a pet to a non-pet friendly home without our knowledge, you will be evicted (no prior notice required) and no refunds will be issued to you.

Is there an additional fee for bringing my pet?

Yes, there is.  We charge a non-refundable pet fee of $75/per pet with your reservation.

What should we bring with us on vacation?

Our rental units are fully equipped for you to enjoy your vacation.  We do not supply linens and towels, so you'll want to bring your own.  Bed sizes are stated in your reservation paperwork.

Not all units contain the same items.  If you require an iron, you may want to bring a travel iron.  If you like to cook, you may want to bring extra spices from home and maybe your favorite pot or knife. You'll also want to bring beach blankets and beach chairs.  We do not like our blankets to go to the beach.  Bring your bikes - Chincoteague is a great place for bicycling.  You'll also want to bring dishwasher and laundry detergent - we do not supply those.

Otherwise, you should find everything necessary at your rental unit to enjoy a nice vacation.

When can I check in?

Check in is at 3:00 p.m.  There are no exceptions.  If you are checking in after normal business hours, please check with your reservationist about our after hours check-in procedures.

Can I drop off my stuff at the house before checking in?

No.  Access to your rental unit prior to 3:00 p.m. is not permitted for any reason.  Please do not attempt to enter your unit prior to check-in.  Chincoteague is a small island, and we usually know what's going on.

What do I need to do at check-in?

When you check in, if you find any damage at your rental unit, please call our office to report it immediately.  We will make a note on your file that damage was reported.

When is check-out? 

Check out is 10:00 a.m. prompt and there are no exceptions to this.  Your keys are expected in our office by this time.  If you're checking out on Sunday, please drop your keys in our key drop off box.  Failure to depart your unit by check-out time will result in forfeiture of your security deposit.

What do I need to do at check-out?

Your unit should be left in good condition.  All trash should be removed from the unit and placed in the trash receptacles outside.  Floors should be swept.  No food should be left in your unit and all dishes should be cleaned and put away.  If you leave your house in a messy condition, a portion of your security deposit may be withheld for extra cleaning.

What do I do if something breaks down at my rental unit?

You must call our office immediately to report damage or a malfunction.  If the damage or malfunction occurs after hours, our 24-hour emergency phone numbers are posted on our office door.  Every effort will be made to dispatch a service vendor for repairs as soon as your call comes in.  The vendor will have keys to gain access to your unit, so you need not be present

What if I lock myself out of my unit?

Guests will be issued two sets of keys at check in.  If you lock yourself out of your unit, you must call one of our 24-hour emergency phone number posted on our office door.  A member of our organization will meet you at our office, or will leave keys for you in the key pick up box.  There is a fee for lock outs.

What's the best source of things to do on Chincoteague?

The Chincoteague Chamber of Commerce, located on Maddox Boulevard at the circle, is the best source when searching for information about what to do.  They are open Monday through Saturday and can be reach on the phone at 757/336-6161.
