Booking a Reservation ~ There are two ways to book your reservation. You can book online 24/7 or call our Reservation Hotline 1-800/668-7836 during regular business hours.

 

Online ~ If you visit our website, www.chincoteagueresort.com you can search our rentals by price, location, occupancy, etc.  Select your home and then make the reservation with any major credit card or e-pay. The initial deposit to confirm a reservation is 1/2 of the rental rate plus the fee for Trip Interruption Insurance (insurance is optional and not required to book a reservation). You will receive via email an itemized reservation confirmation, payment receipt and rental agreement which must be signed and returned to our office within 10 days. Final payment is due within 30 days prior to your arrival, and you can make your final payment online.  You will be notified by email that your final payment is due. We DO NOT accept checks after the 30-day deadline. Any reservation that is booked with less than 30 days to arrival, payment in full is due at the time of booking.

 

Reservation Hotline ~ our toll-free hotline is available during normal business hours.  One of our very knowledgeable reservationists would be glad to answer any questions you have and help you make a selection.  So if  you're more comfortable speaking with someone, please don't hesitate to call us.  We're open 7 days a week during the summer, all other times we're open Mon. - Sat., 9 to 5, and closed on Sundays.

Can you hold a rental unit for me while I check with the other members in the vacationing party?

 

No, unfortunately we are not able to hold rental units.  Our reservation system is a "real-time" online system in which you're able to book a reservation at any time.  Please be assured however, that we will help you with the reservation process so that you're able to book the vacation rental home that you want.

Can I rent more than one unit?

 

Yes, you can rent more than one unit.  However, the reservations need to be in the name of the person who is responsible for payment. That person will be responsible for signing the rental agreement.  Please note that we do not allow subletting of our vacation rental homes.

What charges and fees are included with my reservation?

 

Each reservation includes a base rental rate, the state and local tax on that rental rate (11%), a minimum security deposit of $200 (some properties require a larger deposit) and a cleaning fee (which also varies according to property).  In addition, if you're renting a PET FRIENDLY house and plan to bring your pet, an additional pet fee of $100 per pet is applicable.  Trip Interruption Insurance is available, however, is not required to purchase in order to book a reservation.

When is my final payment due? 

 

Your final payment is due within 30 days prior to your arrival, and you will be notified by email that your final payment is due. We DO NOT accept checks after the 30-day deadline.  You can make  your final payment online.

Can I make my final payment when I arrive?

 

No.  We will not release keys unless we have your signed paperwork and your payment in full for your reservation prior to your arrival.

What if I book a reservation at the last minute?

 

We accept last minute reservations up to the day of arrival.  Payment is due in full at the time of booking for any reservation that is booked with less than 30 days to the arrival date.

Once I've booked my reservation, can I change my reservation to a different rental unit?

 

No.  A change like this would be treated as a cancellation and subject to our cancellation policy.  Please be assured however, that we will provide you with as much help as you need while selecting and booking a vacation rental.

When can I expect my security deposit to be returned to me?

 

Your security deposit will be returned within 30 days from the date of your departure. We will issue a credit to the card carrier you used. If you paid in cash, a check will be issued.

Must I take travel insurance to confirm my reservation?

 

No.  Although we include the cost of the travel insurance premium in your initial reservation, if you opt not to purchase travel insurance, just check the "no thank you" box on your rental agreement and the fee for the premium will be subtracted from your reservation.

What happens if I have to cancel my reservation?

 

We have a no cancellation policy. If you have to cancel your reservation for any reason and we are not able to rebook the rental home under the same conditions, your deposit(s) paid will not be refunded to you. (Note: if you have already paid your security deposit, your security deposit will be refunded to you.) Please be sure to consider purchasing Trip Interruption Insurance to avoid losing your investment.

Can I invite friends to visit or stay over?

 

All of our rental homes state the maximum number of occupants allowed. Occupancy limits must be followed and cannot be exceeded.  Please be sure to call us if you have questions about occupancy.  We certainly will work with you to try to find a viable solution to your needs.  If, however, you disregard our rule about maximum occupancy limits and exceed occupancy at any time, you may be evicted without prior notice, your security deposit will automatically be forfeited and no refunds will be issued.

Is there enough parking for my family?

 

Parking at our rental units can be limited.  Your reservation paperwork states the number of parking spaces allowed.  If you are bringing more than 1 or 2 vehicles, please be sure to ask your reservationist if there are parking restrictions.  If you exceed the number of spaces allowed, you will be asked to remove excess vehicles from the property.

Can I bring my boat?

 

If you plan on bringing your boat, you must check with your reservationist to see if there is enough parking at the unit you have reserved for you to park your boat trailer.  Some of our rental homes, including some of our waterfront rental homes, do not allow guests to park boat trailers.

Can I dock my boat at my rental unit?

 

Not necessarily.  Our rental units that allow boat dockage are noted.  Some of our waterfront rentals do have docks, however, boat dockage is not permitted.  In some cases, boat dockage is allowed, however, it is on a first come, first served basis.  And in other cases, some of our rental homes have docks & piers, however, the water may be too shallow for your boat.  We do not guarantee water depth. Please be sure to ask your reservationist for more information if you're planning on bringing your boat.

Can I bring my pet?

 

Yes.  We are pleased that some of our vacation rental homes allow pets.  There is an additional fee of $100/per pet.  Please check with your reservationist as not all pet-friendly homes allow cats and some have size limitations for dogs.  PLEASE RESPECT OUR RULES ~ Even though you may be renting a pet-friendly home, you must let us know that you are bringing your pet and you must pay the pet fee. DO NOT bring pets to your unit without our permission.  Unauthorized pets at your rental home may result in your eviction and your entire security deposit will automatically be forfeited.

What should we bring with us on vacation?

 

Our rental units are fully equipped for you to enjoy your vacation.  We do not supply linens and towels, so you'll want to bring your own.  We do have a linen rental service you can utilize at an additional fee.  Bed sizes are stated in your reservation paperwork.  Not all units contain the same items.  If you require an iron, you may want to bring a travel iron.  If you like to cook, you may want to bring extra spices from home and maybe your favorite knife. You'll also want to bring beach blankets and beach chairs.  We do not like our house blankets to go to the beach.  Bring your bikes - Chincoteague is a great place for bicycling.  You'll also want to bring dishwasher and laundry detergent - we do not supply those. Otherwise, you should find everything necessary at your rental unit to enjoy a nice vacation.

When can I check in?

 

Check-in begins at 4:00 p.m. We will make every effort to have your rental home available by check-in time, however, because of unforeseen maintenance and housekeeping issues, we cannot guarantee the exact time. Please DO NOT go to your rental home and drop off any items unless you have prior permission from CRR. If you arrive to Chincoteague after normal business hours, your key will be placed in our Key Pick-Up Box located outside our office. In that box you’ll find an envelope with your name on it  with everything you need to check in. So please don’t worry if you arrive late. If you have ordered linens, your linens will be at the house when you arrive.

Can I drop off my stuff at the house before checking in?

 

No.  It has always been our policy to allow guests to check into their rental home early if it has already been cleaned and inspected. Please note, however, that if you arrive early and your rental home is not ready, we cannot allow you to check in or drop off your belongings, even though you may have a car load of groceries & fidgety folks. Please, please plan accordingly.

What do I need to do at check-in?

 

You need to come by our office on Maddox Boulevard to pick up your keys.  Then, when you arrive to your vacation rental, if you find any damage at your rental unit or find that it is not cleaned satisfactorily, please call our office to report it immediately.

When is check-out? 

 

Check-out time is 10:00 a.m. WITH NO EXCEPTIONS.  There will be a $45/hour late check out fee for those who don’t comply, and that will automatically be deducted from your security deposit. Keys must be returned to us no later than 10:00 a.m. If you arrive to the office before normal business hours to drop your keys, you can drop them  in the Key Drop-Off Box located outside our office. Guests departing keyless entry homes do not need to come by our office to check out, however, you still must check out by 10:00 a.m. Please be sure to remove all food from the refrigerator, all trash from inside the home, strip the beds if you rented linens, and vacuum floors.

What do I do if something breaks down at my rental unit during my stay?

 

You must call our office immediately to report damage or a malfunction.  If the damage or malfunction occurs after hours, our 24-hour emergency phone number is posted on our office door.  Every effort will be made to dispatch a service vendor for repairs as soon as your call comes in.  The vendor will have keys to gain access to your unit, so you need not be present for the service to be performed.  Please note that Chincoteague Resort Realty has made every effort to make sure your vacation rental home is in good working order.  We cannot be responsible for equipment failure, including interruption of internet service, or due to weather conditions. In addition, we will make every possible attempt to have the repair done as quickly as possible, however, we are at the mercy of the service provider.  No refunds will be issued for breakdowns, loss of service, bad weather, etc.

What if I lock myself out of my unit?

 

Guests will be issued two sets of keys at check in.  If you lock yourself out of your unit, you must call our 24-hour emergency phone number posted on our office door.  A member of our organization will meet you at our office, or will leave keys for you in the key pick up box.  Lockouts are subject to a $25 fee which will be deducted from your security deposit.

The Chincoteague Chamber of Commerce, located on Maddox Boulevard at the circle, is the best source when searching for information about what to do.  They are open Monday through Saturday and can be reach on the phone at 757/336-6161 or online at www.chincoteaguechamber.com.
